How to Convert Microsoft Office Files to PDFs with SOLIDWORKS PDM | Convert Task Setup Tutorial
This tutorial walks you through configuring SOLIDWORKS PDM to automatically convert Microsoft Office documents into PDFs. Once set up, PDF creation can be triggered automatically through your vault workflow - helping standardise document outputs and keep released files consistent.

So in this video, I'll be showing you how to set up the combat tasks to convert office files into PDFs. this can happen automatically during a workflow transition or, monthly through a right click menu. So whenever you need. So to configure this task in PDF will first need to import the addon. So this is going to be exactly the same method as the convert video. But in this video we'll be importing the office to PDF addon instead. you'll want to open up the admin tool and then log into your file. So either through a double click or right click and connect And then underneath the audience node we can see here we've got a task gotten us for our SolidWorks files. And so we want to import the offset in. So we're going to go to Volk name. Right click and select import. And then we're going to browse to exactly the same location as previously. So we're going to go to our C drive worker files. So let's copy. So let's PDM and then default data. And then right at the bottom you'll see a office to pdf csv file. So this has a task and it also has the add in including that. So you want to open it and then just okay to the import complete message. Okay. So unmetered and snowed. Now we can see we've now got our S.W. pdf task got in. And now we can go ahead and configure that task to how we want it to run. go to the task road about three quarters the way down. You should see you've now got an office PDF task to make things a little bit easier. Always suggest creating a duplicate of this. Just ensures you've got a default to go back to. So to copy, it's just a case of right clicking and then hitting copy. Just double click to open up the task. Sometimes it can take a little while. And first things first. It's always best to just rename this to something more appropriate. So I'm going to change this So this first page here is the oven page. So you can see which add in is task uses. So say this or PDF task again. And it also has the execute task as user. So you've got two options here. You can execute as a logged in user. Or you can execute as a individual user such as admin. So this is really important. As if the user who's triggering this task does not have permission to add files to the vote site, particularly if you are then executing that task is admin can overcome that. So number of retries on failure and minutes to wait before failing is how many times do you want the task to run again if it fails? And how long do you want to wait before the task fails? So the next page is, execution method page. So this is the computers, which you want to run this task. So I'm going to check my computer here. So second thing on this page is how it, is going to be run as you got three options in professional. You can either like system choose, the computers to execute the task prompts the user to choose a computer, execute on the computer why the task was initiated. So for this I'm going to deselect that third option. So next is the menu command page. So this is optional. And this is how, your convert task will appear on that right click menu. each sub menu here is indicated by a backslash. So I'm going to keep this active. If I wanted to turn off I would just click that checkbox. But I want to make sure it's accessible on a menu. But I'm just going to adjust this to say something different. So I'm going to say word document to PDF here. So the following page is output file card. So this allows you to populate the output PDFs date card with values from the source files date card. So for example here we could take the revision value from our source file. And we could push that into the revision value of output PDF. can also use it to add in a comment somewhere with free text. So I'm going to add a comment on the output PDF And let's put that in the comment box. So the next page is our output file details. So this is where you're defining, the output path of your PDF file. So in Pro you've got the option of defining two locations. So you might want to include one output file in the PDF vault. And one externally. For other business who perhaps doesn't have access to PDM. So you can construct those file names definitely for both. And you can also include variables in this. So for example on this output file path, the the primary one here I'm going to add in the revision variable by selecting the little arrow on the right hand side, choosing variables, and then selecting my revision variable from the list. also got the option to allow the user to change that path as well, by toggling that checkbox on and off. Duplicate for handling. This is either you can replace files. If you rerun this task, or you can create new versions of the files. A couple other things to note on this page. The first is the log path. So this will be where your logs go. If you toss files. So by default, it will go in a folder root called logs and then office PDF. You can adjust that to a different location by using this browse button. But just remember it has to be with inside the vault. Last thing then is this advanced scripting options. So this will show you that the actual script that this task uses. And this is written in Visual Basic. So a useful troubleshooting tip here if you have any issues with the task. Quite often a reset can help. However, just be careful with the reset methods. If you have made any amendments to that task, you had reset. It will pull a brand new fresh version and you will lose those amendments. So just make sure you save them prior to hitting that reset button. The next page is your office options page. So this allows you to define a page range. And also allows you to include things such as properties on markup as well. And you do have some slightly different options for Excel and PowerPoint as well. So the next page is our permissions page. So this allows you to give permission to individual users and groups. The ability to initiate this task on I right click. So I'm going to get up in the permission, but you might want to include some groups in your own permissions. So last couple pages are for our success and our notifications. So who will be notified if the task completes or fails. So for the success notifications, you want to be cautious about applying those. You don't want to be overloading someone with PDF notifications. So usually notifying the user who launch the task is sufficient. So you can also define the content of the notification here. So let's add in some things such as word document to PDF complete, as a title. And then for the body I'm going to add a and perhaps link some information about how that task was run. So the host computer current title and the current time. So I found a page that is notifications. usually you want to notify the user who launched that task and then perhaps someone such as admin who'd be able to investigate why it failed. And I'm going to put in the same information for the notification contents as well. And let's add in, a host computer, current date and current time. Just some information there to help you investigate why it failed. So once you're done. Okay. And you can now apply what's relevant in your workflow. And then you can give that a test by either right clicking and selecting that task or pushing it through a state change. Just as a final note, if you are using this task, you might be interested in our document update add in. So that automatically and slightly updates fields in one in Excel.
